Privacy Statement

The Singapore Mental Health Conference 2027 (SHMC 2027”) is jointly organised by the Institute of Mental Health (IMH), Agency for Integrated Care (AIC), Health Promotion Board (HPB) and National Council of Social Service (NCSS), collectively referred to as “Organisers”, “we”, “us” or “our” in this privacy statement.  This Privacy Statement describes how the Organisers may collect, use, disclose and process personal data in connection with SMHC 2027, including registration for and attendance at the conference and use of related web sites, applications, and event platforms.

  1. Type of Personal Data Collected and Purpose for Collection

    1. The Organisers may collect personal data including, but not limited to,  your given name, family name, profession, job title, MCR/SNB/PRN number, organisation and business email address.

    2. The Organisers may collect, use, and disclose personal data for purposes connected with the administration and operation of SMHC 2027, including registration verification, access to the in-person conference and conference virtual platform, attendee communications, reporting, and analytics and other purposes reasonably related to the organisation of SMHC 2027.

    3. The Organisers may use the business contact information provided during registration for conference-related communications, customer support, and administrative purposes. The Organisers may have limited ability to provide assistance or conference-related services where the required information is not provided.

  2. Disclosure of Personal Data

    1. The Organisers may disclose any of your personal data to service providers, vendors, and other authorised parties engaged to support the administration and operation of SMHC 2027, including the provision of conference-related, technical, communication and other ancillary services.

    2. The appointed professional conference organiser is authorised to collect all payment on behalf of SMHC 2027. The Organisers may disclose personal data, including names, contact details and payment-related information, to the appointed professional conference organiser to process payment. All payment is processed via secured servers.

    3. Any disclosure of your personal data by the Organisers to any third party will be used specifically for the purposes as described in this Privacy Statement or as otherwise required or permitted by the applicable law.

    4. The Organisers do not retain payment information entered directly into the payment gateway. Such information is processed by the relevant payment service providers in accordance with their applicable terms and privacy policies.

    5. By registering for SMHC 2027, you acknowledge that the Organisers may disclose your personal data to grant providers, sponsors, funders, auditors, and other parties involved in the administration, review, audit or reporting requirements related to grants or funding supporting SMHC 2027, where necessary for such purpose.

  3. Personal Data Security

    1. The Organisers shall take reasonable precautions and implement adequate measures to safeguard your personal data against such risks as loss, theft, unauthorised access, unauthorised disclosure, modification, copying, use and destruction.

    2. The Organisers will take reasonable steps to protect the confidentiality of your personal data in its dealing with third-party vendors.

    3. The Organisers will not request for your username and password via email or telephone. If you receive such requests, please inform the Organisers immediately at smhc@nhghealth.com.sg.

    4. While the Organisers take reasonable steps to protect personal data in their possession or under their control, no method of electronic transmission or storage is completely secure and the Organisers cannot guarantee absolute security.

  1. Accuracy of Personal Data

    1. You are responsible for ensuring that the personal data provided is accurate, complete, and up to date.

    2. A ‘Registration Confirmation’ Email will be sent to all successful registrants confirming their successful registration for SMHC 2027.

    3. You may email smhc@nhghealth.com.sg  to request for changes to your registration details.

  2. Retention and Destruction of Personal Data

    1. The Organisers will retain personal data only for as long as reasonably necessary to fulfil the purposes for which it was collected and to comply with applicable legal, regulatory, audit and operational requirements. When personal data is no longer required for such purposes, the Organisers will take reasonable steps to securely delete or destroy such personal data.

  3. Transfer of Personal Data

    1. The Organisers may transfer personal data outside Singapore where necessary for the purposes described in this Privacy Statement, including where conference systems, platforms, cloud services or service providers are located outside Singapore.

    2. Where personal data is transferred outside Singapore, the Organisers will take reasonable steps to ensure that the transferred personal data receives a standard of protection comparable to that required under applicable law.

  1. Photography and Video Recordings

    1. The Organisers may photograph, audio-record and video-record SMHC 2027 and may use such photographs, recordings and videos for educational, promotional, publicity, reporting, archival and related conference purposes.

    2. By registering for or attending SMHC 2027, you acknowledge that photographs, recordings and videos may be taken during the conference and that your image, voice or likeness may be captured.

    3. Such photographs, recordings, and videos may be used, published, and disclosed by the Organisers and their authorised service providers for educational, promotional, publicity, reporting, archival purposes in print, electronic and social media formats.

    4. Requests relating to photographs, audio recordings or video recordings may be submitted to the Organisers, who will consider such requests in accordance with applicable law and operational requirements.

  2. General

    1.  The Organisers may amend this Privacy Statement from time to time. Any amendments will be posted on the SMHC 2027 website and will take effect upon posting.
